Invite team members and set their roles

Add people to your workspace, choose a role for each of them and fine-tune what they can reach.

Team management is in your workspace under Settings > Team. Only the account owner sees it. The number of seats depends on your plan and studio; the Team page shows how many are in use and how many are left. [SCREENSHOT: the Team page]

Invite someone

  1. Open Settings > Team and choose Invite a team member.
  2. Enter their name and email address and pick a role.
  3. Under Can reach, tick or untick the apps you want to add to or take away from that role.
  4. Choose Send invitation. The person receives an email with a link to set their password and lands in your workspace with exactly the access you chose. If the email went astray, Send invitation again on their row sends a new one.

The three roles

  • Co-admin runs the business alongside you: sales, invoicing, courses, website, email, social, automation, the AI tools and Settings. A Co-admin cannot manage the team and cannot reach account administration.
  • Salesperson sells and follows their own customers in CRM and Sales. They see other people's customers as taken, without their orders or prices, so two people never work the same customer. Leads are visible to everyone. Invoicing (sending invoices), Automation and Affiliates are included and can be unticked.
  • Content and marketing makes and publishes the content: courses, website, email marketing, social posts and the automations behind them. No sales, no invoicing, no AI tools.

Every member also has Calendar, Discuss, Projects, To-do and Contacts.

What a role hides, it really hides

A role is a set of permissions, not a list of menu icons. Apps outside the role are closed to that person, also by direct address, and do not appear in their menu. Fewer icons also means a tidier workspace for them.

Changing or removing access

On the Team page each member's row has Change access, which opens the same tick list as the invitation, and Remove from team. Removing someone keeps everything they created; only their login stops working.

Account ownership

Each workspace has one owner. To hand over ownership, for example when a colleague takes over the business, use Make account owner on that person's row. They become the owner and you continue as Co-admin.

AI tools and Settings

Dolcefy Intelligence and the self-service Settings pages are open to the owner and to Co-admins. Whether the AI tools are available at all depends on your plan, not on the role.
